Student Accounting Assistant (SAS)

POSITION OVERVIEW

The Student Accounting Assistant will provide information, support, and regular communication to students regarding tuition, fees, payments, and billing. The position will be responsible for responding to telephone inquiries, assisting with student walk-ins, managing the SAS shared mailbox, serving as a backup for SAS team members, and coordinating with other departments on matters related to student billing, collection, and refunds. The Student Accounting Specialist will also be responsible for updating th e Student Information System when needed.

Position to be filled from September 2025.

DUTIES:

鈥 Provide daily support to students and FRPs (Financial Responsibility Parties) on matters related to payments and refunds

鈥 Record and process daily incoming payments in the system, then issue confirmation notifications to the students

鈥 Ensure an efficient response to phone inquiries and in-person visits

鈥 Handle the SAS shared mailbox and improve KPIs (Key Performance Indicators)

鈥 Serve as a backup for SAS team members

鈥 Ensure accurate and timely processing of student refunds in accordance with established policies

鈥 Coordinate with other stakeholders on matters related to student billing, collection, and security deposit refunds

鈥 Handle adjustments as needed

鈥 Implement a systematic follow-up process to resolve outstanding payment issues.

鈥 Update the Student Information System and student records as appropriate

鈥 Ensure tax forms are prepared accurately and in compliance with regulations

鈥 Assist in certifying students who benefit from the Department of Veterans Affairs

鈥 Responsible for overseeing both academic and financial processes, which entails managing tasks such as registration, withdrawals, leave of absence, Internships, and student academic concerns

鈥 Assist in reviewing SAS policies and updating the BPRs (Business Process Records) when necessary

鈥 Run regular reports from the Student Information System and adjust as necessary鈥 Work with departments including the Registrar鈥檚 Office, Admissions, Financial Aid, Outreach,

鈥 Health, Housing, Internship Office, and Library to update records

鈥 Review and correct cost type, update holds, coop billing, and User Defined notes

鈥 Handle bank transfers, checks, credit card, cash deposits, and other transactions into the system

鈥 Assist in system testing, and writing test cases

鈥 Make sure that the student records are up to date on all systems and process reconciliation when necessary

鈥 Prepare reports, dashboards as required

鈥 Be adaptable and willing to take on additional responsibilities as needed by the manager

INVOICING:

鈥 Send merge emails with billing statements to all students

鈥 Send proforma invoices to incoming students

鈥 Provide manual invoices as requested

鈥 Ensure tuition and fees are correctly charged

鈥 Review all student loans to ensure the amounts are correct; liaise with Financial Aid; respond to student queries about grants and loans; liaise with parents about how loan refunds are distributed

鈥 Reconcile accounts as needed

鈥 Ensure loans and Financial Aid match course registrations

鈥 Send merge emails to Loans students

Other appropriate duties may also be assigned as requested by the Supervisor and according to the needs of the department.

Financial Aid Coordinator

CLASSIFICATION: Technician (T3)

DEPARTMENT: Admissions Office

SUPERVISOR: Director of Financial Aid or any other supervisor as designated by the President

POSITION OVERVIEW

The postholder is a key member of AUP鈥檚 Financial Aid Team and will primarily be responsible for areas of work related to US Federal and private student loans. Working closely with the Director of Financial Aid, the postholder听will support a range of activities directly related to the management and disbursement of financial aid to new and continuing AUP students. The role requires a good level of technical ability, primarily using AUP and external software systems supporting the management of financial aid, in addition to excellent data skills.

JOB DESCRIPTION

The main duties and responsibilities of the role will include, but may not be limited to:

鈥 Lead in certifying new and continuing federal and private student loans in COD and private loan Software with the US Department of Education and Sallie Mae and Earnest loans respectively.

鈥 Lead in processing loan adjustments in COD and Opennet to existing student accounts at various points in the academic year.

鈥 Review and process need-based financial aid applications in various stages of completion.

鈥 Prepare and update Financial Aid workbooks.

鈥 Create incoming student loan eligibility, determining whether students have completed the FAFSA and liaising with Student Recruitment Counsellors appropriately.

鈥 Review loan applications for incoming students as necessary to ensure they are complete and take necessary action where needed.

鈥 Create visa support letters for incoming students in possession of loans.

鈥 Liaise with other members of the Financial Aid Team to provide information for prospective and current students and their parents in order to support loan processing and financial aid correspondence.

鈥 Create and review loan eligibility for returning AUP students and communicate information to each student.

鈥 Draw down funds through G5 Software from the US Department of Education at various points in the academic year.

鈥 Liaise with current students in order to support the processing of Federal and private loans.

鈥 Review loan budget adjustments requests for current students

鈥 Liaise with Student Accounting Services to update student Financial Aid records.

鈥 Provide supporting letters and documentation to students and their parents outside of the normal Financial Aid cycle as needed.

鈥 Prepare Financial Aid Comparative Reports throughout the academic year.

鈥 Liaise with other members of the Financial Aid Team to manage the Financial Aid Inbox.鈥 Reconcile Federal Loan records monthly and prepare student files and date for the annual Financial Aid Compliance Audit.

鈥 Lead NSLDS enrolment reporting in conjunction with the Registrar and the Office of Institutional Research.

鈥 Data entry and record-cleaning within AUP systems, POWERFAIDS and Slate.

鈥 Work with the Director of Financial Aid to track and analyze Financial Aid data for reporting purposes to the U.S. Department of Education, the AUP Board of Trustees and Institutional Research colleagues.

鈥 Other appropriate duties as assigned by the Vice President and Director of Enrolment Management.

KNOWLEDGE AND SKILLS

Social Media and Marketing Specialist

CLASSIFICATION: Technician (T3)

DEPARTMENT: Office of Communications

SUPERVISOR: Deputy Director of Marketing and Communications (hereafter Deputy Director) or any other supervisor as designated by the President

POSITION OVERVIEW

The Social Media and Marketing Specialist manages all institutional undergraduate and graduate social media channels (see ) of The American University of Paris, assists with the management of special-audience channels (e.g., alumni social media channels) and coordinates email marketing for the office in close collaboration with the Deputy Director and partners across the University, including Development and Alumni Relations, Admissions, and the President鈥檚 Office.

More specifically, this position manages all aspects of the University鈥檚 social media channels (content creation and sourcing, maintenance and community interactions, campaign and strategy development, support, etc.) across all its institutional channels. They keep abreast of social media trends and best practices, ensure that social media channels strategically communicate the AUP story and brand to external and internal audiences, and create engaging content to build community online. The Specialist is also responsible for maintaining an overview of all social media channels related to the University and managing them and coordinating with their admins according to the University鈥檚 policies and best interests. They may also support the Deputy in monitoring the University鈥檚 online reputation by responding to feedback, reviews, and comments proactively and constructively, as well as helping implement strategies to strengthen positive online sentiment.

RESPONSIBILITIES

Social Media Management (60%)

  • 颅 In collaboration with the Deputy Director develops and implements a comprehensive social media strategy aligned with the University鈥檚 marketing and communication objectives.
  • 颅 Manages the entire social media process, from brainstorming content ideas to scheduling, posting, and engaging with the community, ensuring campaigns reach the right audiences and drive meaningful interaction.
  • 颅 Researches and stays up-to-date with emerging social media trends, tools, and best practices to continuously improve the University鈥檚 social media presence.
  • 颅 Manages requests and interactions with community members and the public across all social media channels and other related digital platforms (e.g., Google Business, Reddit).颅 With the Deputy Director, instructs social media interns or volunteers in the support for the development of content for social media.
  • 颅 Collaborates with the Deputy Director and the Website and Marketing Specialist to launch compelling social media advertising campaigns.
  • 颅 Regularly reviews and analyzes the University鈥檚 social media strategy and content performance, identifying weaknesses and making recommendations for improvements.
  • 颅 Coordinates with social media account admins of other units to ensure brand and policy adherence, leverage the University鈥檚 social media network, build collaborative relationships and cross-promote content where appropriate.
  • 颅 Develops, champions and distributes guides on best practices for social media use with colleagues across the University, driving effective use of brand guidelines.

  • 颅 Collaborates closely with the Multimedia Content Producer and Senior Content Producer to source, create, and optimize engaging social media content.

Email Marketing (30%)

  • 颅 In collaboration with colleagues in Development and Alumni Relations, Admissions, and the President鈥檚 Office, sources and produces content for email campaigns and creates one-off emails and campaigns when needed.
  • 颅 Produces regular, recurring email campaigns (e.g., the AUP alumni and families newsletters) in coordination with the respective office staff.
  • 颅 Supports the creation and distribution of digital fundraising appeals, campaign updates and donation reports.
  • 颅 Coordinates the development and execution of event and program communication targeted at and to external audiences (e.g., alumni, parents, friends) and supports others in the AUP community in successfully engaging AUP鈥檚 community with its event and program offerings via email marketing.

Online Reputation Management (10%)

  • 颅 In collaboration with the Deputy Director, monitors the University鈥檚 online reputation by tracking mentions, reviews, and discussions across social media and related digital platforms (e.g., Google Business, Reddit).
  • 颅 Responds to online reviews, comments, and feedback in a proactive and constructive manner, addressing concerns and resolving issues.
  • 颅 Implements strategies to increase positive online reviews, encourage user-generated content, and mitigate the quantity and impact of negative feedback.

Analysis, Reporting and Other

  • 颅 Tracks, analyzes, and reports on key metrics to evaluate the effectiveness of social media and email marketing campaigns and strategies.
  • 颅 Utilizes analytics tools and data to gain insights into audience demographics, preferences, and behaviors, and generates regular reports to inform strategy.颅 Collaborates with other departments on audience management, segmentation, and data integrity. This may involve updating audiences, generating reports, providing guidance on audience management practices, and developing targeted campaigns to support these efforts.
  • 颅 Creates purposeful marketing material through design software (e.g., Canva), including graphics, multimedia content, promotional materials and distinct visual identity components for use on social media channels and in email marieting (e.g., university needs).
  • 颅 May have opportunity to mentor student contributors or interns, serve on university task forces or committees as directed, and take on additional communications tasks when necessary, and as assigned by the Director of Communications and Outreach or the Deputy Director.

QUALIFICATIONS

  • 颅 Native or near-native proficiency in written and spoken English.
  • 颅 Bachelor鈥檚 degree in digital marketing and social media, design, communications, or a related field.
  • 颅 Proven experience as a social media coordinator or in a similar role.
  • 颅 Strong communication skills with an eye for detail and creativity
  • 颅 Hands-on experience using content management systems, publishing tools, and software such as Mailchimp, Canva, and ClickUp.
  • 颅 Familiarity with social media management and analytics tools like Hootsuite or Sprout Social.
  • 颅 Excellent problem-solving and interpersonal skills, particularly in handling inquiries, feedback, and complaints professionally and proactively.

Faculty Positions

The Paris Writers Residency: Call for Applicants 2025

1 - 31 OCTOBER 2025

From 1 March, applications are invited for The Paris Writer's Residency, sponsored by The American University of Paris (AUP) and the Centre Culturel Irlandais (Irish Arts Centre).

The appointment is non-stipendiary but accommodation is provided at the Centre Culturel Irlandais in the heart of the Latin Quarter (5猫 arrondissement). In addition, there is an expenses allowance of 1,500鈧 to cover travel and living costs.

There are three main obligations:

  • A day of interaction with undergraduate Creative Writing students at AUP
  • A workshop with MFA students at AUP
  • A reading/public event hosted jointly by AUP and CCI.

The writer appointed to this position may be a practitioner in poetry, prose, or another genre, including literary translation. We are interested in someone who offers interdisciplinary possibilities and who would relish the opportunity to engage with students.
